This Privacy Policy explains how Squadwerk FieldProof (the “App”) collects, uses, and protects information when field crews, administrators, and council clients use the App to record and oversee commercial site maintenance work.

Information we collect

Account information: your email address, name, assigned role (cleaner, admin, or council), and crew membership.
Location data: precise GPS coordinates are captured at check-in and when recording site work, solely to verify that work was performed at the correct site. We do not track your location in the background or when the App is closed.
Photos: before/after and fault photos you capture using the device camera, including a tamper-evident stamp showing time and GPS at the moment of capture.
Operational records: site completion records, maintenance checklists, faults, and service requests you submit.

How we use information

To verify, schedule, and report on site maintenance work.
To generate completion records, faults, and invoices for the contracting organisation.
To provide council clients a read-only view of completed work at their sites.
To authenticate users and keep accounts secure.

Permissions we request

Camera: to capture before/after and fault photos. Used only when you tap a photo button.
Location (while in use): to GPS-verify site visits. Used only while you are actively recording work.

Data sharing & storage

Data is shared only with your employing organisation and its authorised council clients for the purpose of contract delivery. We do not sell personal data or use it for advertising. Records are stored on secured servers and transmitted over encrypted (HTTPS) connections. Authentication uses secure, http-only session cookies.

Data retention

Operational records are retained for the duration of the maintenance contract and as required for invoicing, auditing, and legal obligations, after which they may be deleted or anonymised.

Your rights

You may request access to, correction of, or deletion of your personal data by contacting your administrator or emailing support@squadwerk.com. Account deletion can be requested via the same address.
